This video will take you through a live demonstration of how to lodge a Behaviour Support Plan on the NDIS Commission Portal (new), step-by-step.
Good morning, everyone. We will just give it just a couple more seconds while we admit everybody into the webinar, but thank you so much for joining us today.
OK, welcome everyone. My name is Laura Sham. I am the Deputy Commissioner for Data and Regulatory Transformation here at the NDIS Quality and Safeguards Commission. I'd like to welcome you today to our webinar, which will focus on Behaviour Support. and getting ready for the new NDIS Commission Portal, which will launch on the 12th of October this year. We will start with a short overview of Behaviour Support Plans and restrictive practice reporting and how that's going to work in the new portal. And then we've got an exciting live demonstration for you, which our great subject matter expert, Michael Brownlee, will take us through. We'll also then finish with a bit of a summary on what happens next and what things you might need to do to help you prepare for the go-live.
Before we begin the session today, I would like to start by acknowledging the traditional owners of the lands on which we all meet on today. Today, I'm joining you from the lands of the Ngunnawal people, and I pay my respects to their Elders past, present, and emerging, and acknowledge their ongoing connections to land, seas, and waters. I also like to acknowledge anyone with lived experience of disability and those that support them here with us today.
Before we begin our session, we have a few housekeeping items to commence with. Closed captions are available in the Teams meeting today and we also have our Auslan interpreters supporting us with the session. If you would like to use closed captions, you can go to the dot, dot, dot up the top of the Teams, select "More language and speech", and turn on live captions. The session is being recorded today and that allows others who are not able to join us or perhaps a reminder session for you to come back to, and that will be available on the NDIS Commission website under the Provider Toolkit. To protect your privacy, the chat and the QA functions are switched off because we are recording the session. Any feedback that we get through that email or through our sessions, we will also update in our frequently asked questions resource, which is available on the Provider Toolkit on our website, and we will introduce this later in the session also.
On today's agenda, we will cover the new NDIS Commission Portal, particularly focusing on Behaviour Support and restrictive practices overviews. At the end, we will also cover off on the provider toolkit and what's coming next ahead of the go live of the new provider portal, which will be on 12th October. We are going to start with a short video and then our wonderful SME Michael Brownlee will take us through a demonstration of the new provider portal. Just a reminder that from 12 October, new provider Behaviour Support Plans will be lodged in the new portal. and monthly reporting for plans that are already active or partially active will continue in the existing portal. But we will come back to that at the end of the session also. So we'll move now to the video.
Welcome to this short tutorial showing you how to lodge and manage Behaviour Support Plans in the new NDIS Commission Portal, provide evidence of authorisation for restrictive practices and complete monthly reports. A Behaviour Support Plan is developed by an NDIS Behaviour Support Practitioner and outlines practical ways to address behaviours of concern. It is tailored to the participants needs. Respects their dignity and aims to enhance their quality of life. If you are a specialist Behaviour Support provider and a Behaviour Support Plan includes a regulated restrictive practice, you will need to lodge your Behaviour Support plan in the new NDIS Commission Portal. If you are a provider implementing a Behaviour Support Plan. then you will need to regularly report on the use of these practices in the new portal. After you log into the new portal, you should select the Behaviour Support tab. To lodge a new plan, search for the participant using their NDIS number or name. Where you see their name in the search results, click Lodge New BSP. If the participant is not showing, you will need to create a new participant record using the participant's NDIS number. Refer to the guidance on managing participant records for help on this step. Step one shows the details of the participant, your details, and details of the specialist Behaviour Support provider. Click Yes if the details are correct or No to choose a different participant. In Step 2 you will select the type of Behaviour Support Plan. An interim Behaviour Support Plan is a short plan That explains how to keep the participant safe, while a Behaviour Support Assessment and comprehensive plan is being developed. Upload the interim plan file and enter the dates as shown on screen. The system will tell you when the comprehensive plan is due. In Step 3, you will say who was involved in creating the Behaviour Support Plan and practitioners who may be supporting the plan. The practitioners and supervisors you add must be linked to your organisation as workers. Refer to guidance on adding workers to your organisation if needed. You will also say who was consulted and who was not consulted, giving reasons if needed. Step 4 is about implementing providers. These are people or organisations who may need to use the regulated restrictive practices. People implementing Behaviour Support Plans may be registered providers, family members, or non NDIS service providers. Unregistered providers may also be involved, however it is against the NDIS rules for them to use regulated restrictive practices. For NDIS providers, you will search for them using their business name or Australian Business Number. You may need to provide additional details, such as the service outlet or contact details, as shown on screen. If unauthorised restrictive practices or URPs are involved. Then, in Step Five, you may be asked to provide details of consent to access URP report details. The next steps are about the restrictive practices in the Behaviour Support Plan. In Step 6, if you have consent, you will be able to view any unauthorised restrictive practices reported by implementing providers and link these to the plan if they are relevant. In Step 7, you will add details about each regulated restrictive practice. You can give each one a name to make reporting easier. In Step 8, you will use the link RPs button to show which provider will use each regulated restrictive practice. Finally, you will need to read and submit a declaration. Use the previous step and next step buttons to move between pages to make changes before submitting. Once submitted, you won't be able to edit the plan. You will see a confirmation message once the plan is lodged, and a message will be sent to any registered NDIS providers nominated as implementing providers in the plan. You can save the form as a draft as you go and come back to it later. Your drafts and lodged plans are listed on the Behaviour Support landing page. You can also use this list to check the status of your plans, especially any that may need to be reviewed. If you are a registered NDIS provider who has been added as an implementing provider, you will receive a message that a plan has been lodged. You will log into the new NDIS Commission portal and if needed, link the Behaviour Support Plan, then review and accept or reject the details of the plan. After you accept the plan, you must upload evidence of authorisation from your state or territory. To save you time, you can upload one file for each practice, or one single file that covers all practices in the plan. Once a practice is authorised, the portal creates monthly reporting tasks for you. As an implementing provider, you must say each month if the practice was used for the participant according to the plan. You can see all due or overdue reports on a single page. You can report on your restrictive practice use. or tell us if a practice is stopped or eliminated. You must also report every time a PRN restrictive practice is used. You can do this at any time during the month, or at the end of the month when you submit the report. The new NDIS Commission Portal helps you manage your Behaviour Support Plans and reporting in one place. You can access more detailed guides via the Commission website. Thanks for watching!
Great, thanks so much for that. I'll continue on, Laura. Yeah. Welcome everyone to our webinar today to do a walkthrough of the Behaviour Support and restrictive practice functionality. So today we're going to attempt to do a live demonstration from our testing environment. If we do have any technical issues that come up, we'll revert back to some slides with screenshots for you. So just give me one moment and I'll just switch my screen to the live environment. The testing environment, great.
OK, so... First thing we'll go through is looking at the lodging process. So Behaviour Support providers that need to lodge plans, we'll look at that first and then the second part, we'll look at the implementing provider bits and pieces. First thing I just want to flag is that in the new portal, when you're lodging a plan, the access role will be called Behaviour Support Plan Lodgement Officer. And that's the role that will allow you to lodge plans and Behaviour Support providers can, you can authorise whoever you want to do that lodging work, you can authorise your Practitioners, you can authorise your admin staff or your managers, whoever you want to undertake that function, and that's what the name will be called.
So when you log in under that Behaviour Support Plan Lodgement Officer role, the first thing you'll see is obviously the portal will have a range of different tabs at the top and other roles will give you access to other things you might need to do, such as reportable incidents or other areas if you're dealing with registration. But in relation to lodging plans, you'll be going to this tab at the top, Behaviour Support, and that will take you to the main landing page. So on this landing page, the first at the top is say this tab here, view restrictive practice authorisation. I'll come back to that later. That's a page that we will have a look at in a minute. The first thing we'll just have a look at is the searching function. So at the top of the page, first thing you can do is search for a Participant. So you can go directly to the participant that you're looking to lodge for. You do need to have a participant record before you can lodge a plan. So all the participant records that are in COS will eventually migrate across.
But if you've got a new participant that you haven't lodged for, you haven't, that's brand new, you do need to go to the My Participants tab at the top here and you'll need to create that participant record. And so this, what happens is when you're searching on this top, this top search bar, you know we're just using some test data today, so... When you click, you can use the last name. When you click search, you'll find any plans that you have lodged for that participant. And you'll also... If you haven't got that participant though, then you'll just see if I just put in something that's, so if you don't have a participant record, you won't find anything. So in that case, you'll need to go and create that participant record.
You can also search with the NDIS number, as well. Just below that search area, and I'll just show you this first as well. Just below that search area at the top is where all your Behaviour Support Plans will live or where you'll be able to access them. So, we've got a dashboard at the top which will let you know a bit of summary information. In our previous webinars, we talked about the statuses that the plans will work through in the new portal. I'm not going to cover that today because I'm going to focus more on the actually using the form and where the data goes and how to do stuff. But this view here will have all of your plans. It'll default to plans that are lodged. So you've got a filter here and you've also got a search bar just below that filter. So with the search bar, you, for example, it'll default to lodge plans. Now, definitely please email us if that's not helpful. But if you are looking for plans, for example, drafts, you can select drafts for any plans that you've started lodging but haven't finished, or just select 'All' and that will obviously give you all of your plans. So if you're searching for a particular plan and that plan is in Draft, for example, search for plan 434. It'll find any numbers that have that. It'll look for anything that has those numbers in it. You can also search for a plan ID here, as well. So, if you search for a plan ID 614, it'll find that plan for you. You can use first name, last name, or NDIS number in that search bar. What I'm going to do for today's demonstration is we're just going to use the top search area. I'm just going to search for my participant whose surname is contact for our test data and you'll get all the plans that relate to that participant. and you can view those plans by clicking on the view button.
Or if you need to lodge a new plan, you can click on the 'Lodge a New BSP button' on any of those records. That'll start of the lodgement form. The first step on the lodgement form is just to double check you have clicked on the right participant and it just shows key information as your name, as the user and what provider you're logged in as, just so you know you're in the right place. So you just need to confirm that's all correct. If it's not correct, you can go back and take another participant. So you just click on 'Yes', select yes there and start that lodgement. Then you'll select between Interim and Comprehensive. I'll just select Comprehensive today. So if you select Comprehensive, you'll have this section here just below that, where you'll upload a Behaviour Support assessment and enter the date of that assessment. And then you also identify a practitioner who completed that assessment. You can identify practitioners by searching, using the P number. and that will populate the details of that practitioner. The practitioners that are searched are practitioners that are suitable and are also workers linked to your provider to you as an organisation. If in the case where sometimes the practitioner that wrote the assessment has left the organisation, so if they are no longer linked as a worker, if they're still linked as a worker, you'll be able to search them. But if they're no longer linked as a worker, it's acceptable to Put in the developing practitioner's details in this section. The next part is uploading the actual Behaviour Support Plan itself. Most attachment files are accepted.
There is one thing with PDF's. If a PDF attachment has any other files embedded within it or any other sort of, I'm just going to say fancy components, I'm not in IT, but if it has any things in it that are new or it won't accept them. So the PDF has to be a flat file. Most of the time when you're creating a PDF from a Behaviour Support Plan, it's usually of a Word document and it's usually a flat file, so you shouldn't have any problems. But if you do, you can just read PDF, you can reprint that PDF to PDF, and it will make it a flat file PDF, and then you'll be able to attach it, and that's just a security thing: we don't want files that have things inside them being attached.
The next step is to add the engagement date. So the engagement date is the day that you are engaged to develop that BSP, which is usually contained in your service agreement. And then you enter the plan date, and that's the date that the NDIS practitioner completed the development of the BSP. What will happen for comprehensive? It'll pre-populate a due date for review, which is 12 months from the plan date. If you are lodging an interim plan. You don't need to upload the, I've already uploaded that, so that's already there. But you don't need to upload an assessment. You can upload your interim plan. Again, the engagement date is the same and plan date is the same, but for interim, it'll pre-populate a comprehensive plan due date, which is just a guide as to when you should be seeing a comprehensive follow that interim. Then you'll click on Next Step, Step 3, and you've got a step tracker on the side here to guide you through where you're up to in the lodgment form.
Step 3 is adding the practitioners. So again, you'll be able to use the P number to search for practitioners. They will only search practitioners that are suitable and also are linked to your organisation as a worker. So all your practitioners need to be linked as workers, which they're required to be anyway. It'll pre-populate their details. You can update phone and email if you need to. The question below that relates to supervisors. So in some cases, practitioners are having their plans endorsed and reviewed by the supervisor. It's not always the case. But if it is the case for this particular practitioner, you can select 'Yes'. You can also search for practitioners if that practitioner is someone that is within your organisation and is suitable as well. If you have some other supervisor that's not a practitioner or not someone that's in your organisation that is reviewing that plan, you can select 'No' and you can enter those details in here. These are free text fields. If your supervision arrangements are that your supervisor isn't endorsing your actual Behaviour Support Plans, you can just select 'No' and these fields are not mandatory, so you can just leave those fields. And move on to the next question.
This question is on the practitioner who is supporting implementation. So in some cases, the practitioner that wrote the plan is may not be, may have left as well or isn't going to be working with that participant anymore. Typically they are, so if you just select 'Yes', then the same details will appear. But there's an option here if you have a different practitioner that's taking over this particular participant. You can put in their details as well. The next part on this section is just some confirmations about whether you've consulted with key stakeholders. If you select 'No', you'll need to provide a reason. That's all there is in Step 3. So then you'll just click 'Next Step' and this takes us to Step 4, which is people who are involved in implementing the plan. So this includes implementing providers. But what's this section is quite different.
So typically, we always have registered providers who are implementing plans, but that's not always the case. You can have other people involved in implementation. You might have family. Certainly our current challenge in the current portal is if your plan is only implemented by family, then you can't lodge the plan in the current portal. So this, if you do have a plan that is implemented by family only, you'll just select 'Family'. We're not adding any details or information about family, but that'll create a category on the lodgement that you can then attach your restrictive practices to complete the lodgement. You can also search for your registered implementing providers using the search. You can search by their name. or you can search using ABN. So I'm just going to select this registered provider here as our implementing provider. You do need to add a service outlet as well.
The other categories that are involved here is for example, non-NDIS service settings. They may be involved. Again, that's just a simple category. There's no other details collected for them. And the 4th category is information about unregistered providers. So unregistered providers cannot use restrictive practices. However, they may be implementing them or they may be working with a person that you've written a plan for. And so this just lets you... You'll need to know their ABN. You'll need to enter the ABN here, and that will actually verify their legal name against the ABR, the Australian Business Register, and you won't need to email us separately about that unregistered provider. This will help us collect that information, it'll link it to this participant and we can then use that to monitor unregistered providers. So for today's example, I'm just going to use these two at the top, the family and our implementing provider, urban provider.
Step 5 is a question that is called Consent to Access Information. This is not about consent to lodge the plan or anything to do with that. When you're developing a plan with implementing providers, you typically will have establish that you've got consent to share information in order to work with those implementing providers and develop the plan. This question just asks you to let us know that you have done that. And what it will do is if you click 'Yes', you do need to just attach Attach something for that. And just popping the dates and if you confirm 'Yes', what will happen is we will share with you in the system any URPs that have been reported in the last six months by the registered providers that you have added to the plan already in Step 4. And now you may find that perhaps the information here is not correct. It might have the URP might wasn't really wasn't really restricted access to sharps, for example, it was actually something else, or it's been eliminated and it's not going in the plan, or it is a restricted practice that is actually now going to be put into this Behaviour Support Plan, so you can just select it if it's appropriate for that to go into the plan. Then you click 'Next step', so...
On this field, this little bit Step 7 is where we're at the restrictive practice details, so we've selected our URP already. If you click on 'Edit'. There's a new field available called just called 'Name', and you can provide additional free text information about that restrictive practice to make it really clear as to exactly what is being restricted. So if you update that it'll include that. This, if you click on the 'Add' button, you'll also be able to add any other restrictive practices that you need to include in the plan. So, and again, you can provide information about the practice in the free text field at the Top. Just got to Enter a PRN, which is a chemical restraint. The medication name is searchable. We're just going to pop in for our example today. So you do need to add in a prescriber name. So, we'll just pop that in. I've also updated the subtypes.
So we have our same five types. But our subtype lists have been refined and there is separate guidance. All of these subtypes now have definitions to help start to categorise things a bit more consistently. Don't get too stressed about which one to choose. I think the best approach is to apply what makes sense to that participant's circumstances. So for example, remote control, just say, for example, this person's got restrictive access to the remote control. So we've got household items. So if that TV was in the house, we might pick that one or if it's their own TV, it's a personal item. So I'm just going to pick personal items. And we'll just say that's PRN for now. And that's where you'll add all your practices. So with chemical, you can add in a range of different dosages and frequencies if it's routine as well. So I'll just pop an example in on that. So again, chemical, if you select a 'Routine', you'll be able to enter in the medication name. You can select a range of options, so daily, if it's once or twice per day, you can put that information in. If it's weekly, you can select, for example, maybe every three weeks they get an injection. You can put in a day but you can basically use those categories to identify exactly when that's actually been administered. I'm just going to keep it simple for our demonstration today. And again, you enter in the prescriber details. Then you move to the next step. And the next step will have your implementers. It'll have all your implementing providers listed and if you've got family members or non-NDIS service settings as a category, it'll list that as well.
And what you do in Step 8 is you'll just click on 'Link RPs', scroll down and select the ones that that provider is using. So if you have two or three providers, all you have to do is tick the ones that that provider is using and it will allocate them to that provider. You can also select 'Family'. So say for example, this family is involved and they're using one of the practices. That's essentially all the data entry you'll be doing. based on whatever you've got in your particular BSP. What you do need to highlight is for our first release. Once you lodge the plan, there's no ability to change any of that information. We are designing for an edit ability for future releases. So that is coming. But initially, it's a one-way form at this stage. So this step here is just letting you know, don't just go off and lodge it. You can use these steps here to go back through the entire document and double check that you've put all of the correct information in the correct bits. because once you lodge it, it will go off to the registered implementing providers and to fix anything at this stage, you'll have to create a new plan. Hopefully the process is quite quick, so it really only takes a few minutes to create a plan, but at the moment, that's the functionality we'll be releasing in our first release. So you just click 'Next step', you've got your declaration there which matches our online document templates. You need to confirm that obviously. Hit 'Submit', and your plan is lodged. You'll get your plan ID and an email notification will go to the implementing providers as well as back to you as the Behaviour Support provider. Going to move now to the implementing provider side of things and just because time is moving along, I'm just going to bear with me for a moment. While, I...
Great, so the access role for the implementing providers is the, it's going to be called the Restrictive Practice Reporting Officer. So I hope that's a bit clearer compared to our old usernames and that role is about lodging evidence of authorisation and doing monthly reporting. So, when you log in as the Register Practice Reporting Officer, again, you'll see the same landing screen that you would navigate to the Behaviour Support tab. which as a implementing provider, you'll also have this monthly reporting button as well, and it will jump into that as well. What I'll do first is you have the similar navigation page, so you can navigate to your participants.
What's really important if you've received a Behaviour Support Plan from a Behaviour Support provider that's a different provider to you, you'll have to make sure that you also have that participant record. And what will happen initially is, I'm just going to jump into one of these BSP's down here that are unlinked. So any BSP where the system hasn't checked that both providers have the same participant record, it'll come up here as unlinked and you can click on the 'Unlinked' filter, which will give you any BSP's that have been lodged that haven't been linked. If you navigate into one of those BSP's by clicking on the BSP ID. You'll come to... It'll open up the BSP and you'll see this link button. And so you will just click on the Link button. And so this example here, the BSP has come in, but there's no matching participant record. And so all you have to do is you'll also need to be working in your My Participants page, and you just need to create that participant record for that participant. And that's just a security and privacy aspect that just ensures that we're not sharing lots of information about participants with providers that aren't involved with that participant. It just helps us confirm that you are actually also working with that participant and you're expecting to receive that plan and that that's an appropriate information sharing thing that should be happening in the system. You can search again, similar to the other, this is all the same as the Behaviour Support provider's login. So you've got plans that are sorted by the status and again, once the plan is entered into the system, it is a lodged plan. You can search by the plan ID. I'm just going to, if you click on the header columns, it'll put those in order. So this is the plan that I just lodged. It's the same provider. I've used the same implementing provider as the Behaviour Support provider, so it's already linked for me. You'll go into it, click on the ID to open that up. This one's already linked, as I said. So I will just flag though, before it's linked, you won't see the attachments or any of the information about the restrictive practice as you'll see a limited data set. Once you link it, you'll see all the practices that you've been added to as an implementing provider and you'll also see the attachment. So you can review the plan that's attached, make sure that's the right participant as well.
And you can see that the practices here are in fact the ones that you're implementing and that the details have been entered correctly. You can click on the IDs in this list to go into, open up the restricted practice record itself, which will have all of the information in there about all the details that have been entered, the dosages, different frequencies. It also has the authorisation, current authorisation information, which is what you'll be updating as the implementing Provider. You can also navigate back to the BSP by clicking on the BSP ID or clicking on the back button in the browser. So once you've had a look at all that, you can either accept it or reject it. If you reject it, you need to put a reason. And the main reason for rejecting at this stage is that there's some errors in the information that's been put in. When you reject it, because we don't have the edit functionality just yet, a new BSB has to be lodged to fix that problem. If there's, ideally, if there's, once the plan is lodged, there should be good agreement between the implementing providers and the Behaviour Support practitioner about the strategies and the approach and what's going to be happening with the plan itself and its implementation. So this 'Accept'/'Reject' is really here, just to check that the information is in the system correctly. We will accept the plan today so we can demonstrate the happy path.
So you'll just be clicking on 'Accept' there and then that'll open up some additional information and it will also open up the upload restrictive practice authorisation tab. So you'll now have all your tabs. And this is where you upload the evidence of authorisation. So you click on that tab and that will list the practices that have been added to the plan. There's two ways of doing that. So you can select either, you may have just, we know for example in Victoria you may have just one document that is the evidence. So you can select that. And if you do that, if you click 'Authorised', you can put in your authorisation start date and your authorisation end date, and that'll update it for all of those practices. So I'll just pop in my evidence of authorisation. Um... and if I click 'Save', it'll update all the practices. Now, if I'm in another state where I have individual outcome summaries, for example, or some practices might have been given only three months authorisation, but others were given six months or 12 months, I can, using this option at the top. change it to each practice and you can then click 'Open' and you can then put in specific information for each one. Once the authorised status is updated, you can't change it. Once you've confirmed that it's authorised and it's locked down. And that's how you enter authorisation information. Just gonna keep moving because we are getting close to the end. As the implementing provider, once you've entered that information about the authorisation, once you've set the practice to 'Authorised' or not required, if that's the case for some practices, the system will create monthly reports. for those practices and those can be can be monthly reporting within the plan Itself. But you can also go and click on this 'Monthly reporting' tile that I've just clicked on. And what this will have is it'll have all the monthly reports that are due, based on those authorisation start and end dates.
If you're using the practice outside of those dates and it's an unauthorised restrictive practice, you need to continue reporting that as a URP under reportable Incidents. So you don't need to do any additional monthly reporting in this system. So what will happen is you'll have these, a list, the list which has a couple of filters at the top. It'll default to 'Due' and 'Overdue' reports. You can sort by 'Routine' or 'PRN'. You can sort for a specific participant.
Just a short note, so this is just our test data. In our live data, the participant's first name and last name will be included here together with the NDIS number. So you can certainly search for individual participant because you will have a lot of rows on here. This collects all of the monthly reports from all of the Behaviour Support Plans that you're currently working with that you've updated the authorisation information for. To complete a report, you'll click on the 'Open' button. This one here was authorised in August. So we have a month for August to report On. It's more than five business days into September, so this one's overdue. and this is a routine environmental restraint. So for routine practices, we've tried to simplify monthly reporting. So whilst this was on the authorised for part of the month, we're only really interested in an overall summary of what was the main thing that happened that month. So for those days, and this relates to service provision as well. So if you provide services only for some days of the month for this period, that's fine. So what you're really saying here is for the couple of days that we worked with this participant, we implemented this practice in accordance with the Behaviour Support Plan and with any conditions of any conditions of authorisation that might apply, and so you'll just pick 'Used as per plan'. And that's all you need to do for that. If other things happened and there's a protocol, for example, this is only supposed to be restricted for one hour a day and something happened and it was done on one particular day for three hours or two hours longer, you can report a variation to indicate that there were some differences in how it was used. If it was used for longer than it's supposed to, you'd say it was increased, or maybe it was used for less than what it's supposed to, and then you can say it's decreased. And you just make a call on that based on what happened that month. You can also just click 'Other' and put in some details about if something different happened.
When you report a variation, there is the possibility that the practice was used outside of the Behaviour Support Plan protocols or outside of any conditions of authorisation that might apply. It's possible that use of the practice could actually be a URP. So the system will just ask you to consider that. If it was, you need to go and make that URP report, but so there's just a prompting question there for that. You then simply click 'Submit'. And that will complete that report. When you click 'Submit', it'll change to 'Submitted'. And this list is currently showing you an 'Overdue'. So you essentially come in and work through all of your Overdue and Due reports. So this list has nothing on it. If you wanted to see the ones you submitted, you can select 'All' and search for it. Or you can select 'Submitted' and you'll see all the ones that you have submitted. When you first log into the portal for the first time, I definitely just encourage you to spend some time playing with the searching and the filters. They're designed to get to the data that you need to quickly, but they may be a little bit different to what you're used to. For example, you may have submitted some reports and may be wondering where they went. So you just need to check these statuses. So this is just defaulting to Due and Overdue. And if you change the filters, you'll be able to find them because when you complete the report, the status of the report will change to 'Submitted'. You could also use the reporting dates to filter for a particular time if you want to as well.
With medications, so I'm going to jump into this one here, chemical restraints, Zyprexa, which is a routine medication. You will see any of that information that was added to the name field will display here along with a unique ID for that practice. The ID will link you back to that practice if you need to check details about it and the BSP ID will also take you back to that BSP where that practice comes from. So to complete a report for a routine medication, very similar if for those particular for the time that you provided your service and that can be one day of the month or every day of the month. For those times, you gave this person their daily one dose of medication. This is all just test data. And if you did that, then you're just going to put, yep, we used as per the plan. You can also obviously put, we didn't use it, which would be unusual for a routine medication, but could be the case if you didn't actually get involved that month. You can also, if that medication or that practice has been stopped, you can report 'Eliminated' and that'll actually stop any more reports being generated.
Maybe you didn't provide any service that month, so you can select 'No service provided'. Or maybe you've actually stopped working with that participant, so you can select 'Service provision has ceased'. And again, that'll not generate any more reports for that practice until another plan gets lodged, until it gets re-added to a plan if it's if it's resumed to use in the future. For medications, one of the key features is if the medication dosage or frequency changes, you can select 'Varied use' and you can indicate if it's an increase or decrease. Because this practice is a chemical restraint and medication, You do need to just double confirm was it a URP or not. We'll just say no for now. In some cases, depending on the authorisation requirements in your jurisdiction, dosage changes don't require a reauthorisation of the practice. But obviously from time to time, doctors do change medication information. What you can do here, so we'll just say for example this medication did change. So we can say we can enter in the new information. So in this month, we'll just say this medication's changed to two times per day and it's now 5 milligrams in the morning and say 5 milligrams for the second dose, which could be lunchtime or whenever we're not concerned about exactly when the medication was given. We just want to be clear that there's two dosages that day and we want to be clear about how much was given at each dosage. This question here, you can say, okay, this happened this month, but next month, it's going to go back to the previous thing. It's not going to change. Or you can say 'Yes'. So this question here says, should the variation be reflected in a future report? So you can say 'Yes', and that change in the dosage or frequency will be updated. So next month when you come in to do September's report, You can say, well, yes, that's just stayed the same and we'll just pick as per plan because that's now the correct dosage for the next month. When there's a variation or change, you do need to just re-enter who is the prescribing doctor. And that's usually because you did just go to the doctor and that's why we've got a medication change. And then just click on 'Submit report'.
The other component that we want to cover before we finish up is just PRN reporting on monthly reporting of the reporting of PRNs. So, uh... For. Monthly reporting for PRNs is due at the end of the month, but they will open up during the month as well. So, and you can decide to use that however works best for you. This one here is Environmental PRN restricted access to the community. It's the report is due for September. At the end of September, that will change to Due and I'll need to submit it. But we're still in the middle of September. So if I wanted to, I can come in and add my reports now. So if I had one today, I can select, so because this one's open, I can select only select 'Usage'. I can't select any of the other options. This is one that I did before, so it's got some data here already. But this one's open, so you can come in and go, okay, well, this one is an environmental restraint, so it has those that was used today. Yeah, I can only report since it was authorised. It was authorised on the, these are just test dates, so they don't look necessarily how we typically see authorisation, but this one was authorised on the 21st, so I can't report anything before that here. If I did use it before that day, again, that's a URP. But to say today, I can come in and put a report in for today. You can type the times in. You don't have to select scroll through these or whatever works for you. That was you, and you can also, it doesn't have to be 15-minute intervals. It might have been a 5-minute interval. You do need to identify a worker that used that PRN and again that links to your worker screening linkages and you're just ask to confirm was that in accordance with the BSP or not. If it wasn't in accordance with the BSP, that could also be a URP. So that's how once you add that, click and add 'PRN usage' and it will add it to your list of usages for that month. Up the top here. So you can come and do that on the day or you can come in at the end of the month and put if you only had two or three for the month or if you had however many you can enter them all in for the month and at the end of the month, you'll have that 'Submit' button and you can complete the report for this particular practice for September. This will, um... keep all your data for the month because it's open. So if I cancel that and go back into it, it's all, I've already added it, so that will stay there. And then at the end of the month, it'll change to the other report. So it'll change to Due, and I'll have that, I'll have a 'Submit' button. At the end of the month, it will have these other options. So maybe the PRN wasn't used at all. If you just select 'Not used' and you can submit that as well. That is all of the functionality that you'll need to know to do pretty much all of your reporting. There is additional information about monthly reporting in this drop down on this screen. To help clarify any questions you may have whilst you're doing it. I think that's everything for me.

And that's where we bring all of our information and practical resources together, to help you prepare for the new portal. You'll also find guidance, videos, maps, which are user journeys and process maps, Easy Read resources, as well as a checklist of what you need to do before the 12th of October, which is the date when the new portal will be going live. All of that guidance will hopefully support you to be able to transition, but we do encourage you if you have other questions or other resources that you think would be useful to support yourself and your staff, please send us an email and we're very happy to be able to see what we can accommodate to support you during that transition.
We will also continue to build on the toolkit continually as we go, and that's based on the feedback that we get from providers. So we'll keep coming back to that, not only up to the go-live, but also post go-live as we continue to bring out the resources that you might need to support you. To finish, there are a few things we really encourage you to do now. So firstly, if you have Behaviour Support Plans that are in draft in the existing portal you need to submit these before 12 October. Draft plans will be removed when the new portal opens and cannot be recovered. So please make sure you go back before October 12th to be able to submit those draft plans that you have in place. From 12 October, start implement or submitting your new Behaviour Support Plans in the new portal. But you will continue your monthly reporting in the existing portal for plans that are already active or partially there. You can also use the provider toolkit and readiness checklist to make sure that your organisation is ready, and that includes checking your user access within the portal before 1 October, as we will be copying over access from the existing portal to the new portal.
